Key points

Log in at tiime.fr and connect your bank once: from then on your transactions come through automatically. Extencia will send you a mandate to sign electronically by text message, authorising us to retrieve your bank data.

7 steps to being up and running

Getting into Tiime

Open your browser (Chrome, Edge, Firefox…) and go to tiime.fr. Click Me connecter (Log in) at the top right, then enter your e-mail address and your password.

Tip — bookmark tiime.fr so you can get there in one click.

Getting to know the home page

You land on a dashboard showing the key figures for your business — your cash position in particular, at a glance.

Click your name at the top right: if you run several companies, you can switch from one to another.

The cog wheel, also at the top right, opens the settings for your file (covered in step 03).

Finding your way around the left-hand menu

The left-hand menu holds every section. Two tabs are worth spotting straight away:

À faire (To do) — where you and your Extencia accountant exchange. Whenever they need a receipt or a clarification, they post the request here and you get an e-mail notification.

Comptes › Transactions (Accounts › Transactions) — the section for connecting your bank (that's the next step).

Connecting your bank account

Go to Comptes Transactions (Accounts › Transactions), then click the « Ajouter votre banque » (Add your bank) box.

The list covers almost every French bank. Choose yours: you'll be redirected to your bank's own site to authenticate.

Secure connection — this goes through an approved provider that does not keep your banking credentials.

Signing the EBICS mandate

Once your bank is connected, let your Extencia accountant know so we can send you an EBICS mandate to sign electronically. You'll get a text message with the link: this is the official authorisation that lets Extencia retrieve your bank transactions.

A one-off step. Once the mandate is signed, there's nothing more to do: your transactions come through automatically.

Understanding the Label / Comment / Paperclip columns in the Transactions tab

Once your transactions are through, there are three columns to keep an eye on:

Label — Tiime works out the nature of each expense on its own (restaurant, fuel, supplier…). The tool needs to learn: if a label is wrong (« Fnac » on a meal, say), delete it and correct it. Agree with your accountant who takes care of this.

Commentaire (Comment) — handy for flagging something unusual. For example: « Justificatif perdu » (receipt lost) — your accountant will know there's no point chasing it.

Trombone (Paperclip, at the end of the row) — shows that a receipt has been matched to the transaction automatically.

How receipts are matched automatically

When you upload an invoice to the platform, or photograph a receipt with the Tiime app, the tool automatically reads the date, the supplier and the amount.

If it finds a matching bank transaction, the two are matched automatically. The paperclip becomes clickable and shows the receipt.

If no match is found, click the paperclip then « Ajouter » (Add) to attach your document by hand.

Good habit — the sooner you send your receipts in (step 02), the better the automatic matching works. No need to wait until the end of the month.

Key points

Sending your receipts in as you go makes the automatic matching with your bank transactions work far better. Photograph the receipt, send it: that transaction is dealt with.

Uploading a receipt from your computer

Go to Documents Mes documents (Documents › My documents) in the left-hand menu. Drag and drop your files (PDF, JPG, PNG) or click « Ajouter » (Add).

Tiime reads the document, pulls out the date, the supplier and the amount, then matches it to the corresponding bank transaction.

Photographing a receipt with your phone

Install the Tiime Comptabilité et Gestion app (free, App Store and Google Play). Log in with your Tiime details.

For each receipt: open the app, photograph it, confirm — it's sent straight away. You no longer need to keep the paper original: the digital copy is legally valid evidence.

The habit to build — photograph the receipt as you leave the restaurant, the petrol station or the supplier. Within a few weeks it becomes second nature and there's no more paper to file.

Expense claims — getting a personal payment reimbursed

Paid for something for the business with your personal card? First upload your receipts to Documents Espace Frais à Rembourser (Documents › Expenses to reimburse), then go to Notes de frais (Expense claims) in the left-hand menu.

Click « Ajouter une note » (Add a claim), enter the date, the reason and the amount, then attach the receipt.

You must apply a Label here. In this section the Label (the expense category) is not applied automatically: enter it by hand for each expense claim — Restaurant, Péages (tolls), and so on.

Answering Extencia's requests

Whenever your accountant needs a missing receipt or a clarification about a bank transaction, they'll flag it in the À faire (To do) tab — and you'll get an e-mail notification too.

Open the message, attach the document they've asked for or simply reply. The exchange stays on record inside Tiime, so nothing gets lost in e-mail.

Receipt lost for good? Write « Justificatif perdu » (receipt lost) in the Commentaire column of the transaction concerned. Extencia will see it and won't chase you for it.

Key points

Before you issue your first invoice, go through the settings to make the template your own: logo, colours, contact details, VAT. Anything can still be changed on each invoice as you issue it.

6 settings to sort before your first invoice

01
Opening the invoicing settings

Click the cog wheel at the top right, then scroll down to Facturation (Invoicing). You'll find several sub-sections there to go through before your first invoice.

Choosing your invoice type

In Généraux (General), choose the invoicing type (rapide — quick, or complet — full) then tick what it is you invoice:

Prestation de service (Services) — for consultancy, services or professional fees.

Livraison de bien (Goods) — for selling products.

Both — just leave both boxes ticked, as they are by default.

03
Uploading your logo & choosing your colours

Upload your logo (PNG or JPG). You can also match the invoice colours to your own brand.

A well-set logo and consistent colours strengthen the professional impression your clients get.

Fine-tuning your company details

Your company details are fully editable: fill in anything missing (phone, e-mail, website) and remove whatever isn't relevant to your business.

Setting up VAT

State whether you are VAT registered, and choose a default rate (typically 20%). This isn't optional: a default rate is required, even if you'll change it now and again on particular invoices.

Nothing to worry about — the rate can be changed as you issue each invoice, which is handy if you occasionally invoice at 5.5% or 10%.

Checking the footer (legally required details)

The footer automatically shows your SIRET (business registration number), your NAF code (industry classification) and, where relevant, your EU VAT number.

Leave these alone — they are legally required. You can, however, add other details there (terms of sale, bank details, and so on).

Key points

Finish off the settings (the Facture, Devis and Prestations type tabs), then create your invoice in a few clicks. Tiime handles the numbering for you and matches the bank payment automatically.

Step by step

From a standard service line to a sent invoice

Setting up the « Facture » and « Devis » tabs

Still in Paramètres Facturation (Settings › Invoicing), there are two sub-tabs to finish off.

Facture tab (Invoice) — change the format and sequence of your invoice numbers, adjust the default payment date and tailor the e-mail template used to send invoices (and chase them).

Devis tab (Quotes) — a few quick settings to check: the numbering sequence for quotes, the standard e-mail templates and the acceptance terms.

Tick « Afficher les coordonnées bancaires » (Show bank details): your bank details will then appear automatically at the bottom of every invoice, which gets you paid faster.

Creating your « Prestations type » (standard services)

In Paramètres Prestations type (Settings › Standard services), you save in advance the things you invoice regularly (e.g. monthly rent, consultation fees).

For each one: a code, a unit price, a VAT rate (0% for rent, 20% for fees…) and, above all, a unit of measure.

The unit of measure is mandatory — it's a requirement of the French e-invoicing reform (2026-2027). Pick whatever fits: month, flat fee, hour, kilo… « forfait » (flat fee) is the most common.

Leaving the settings and creating the invoice

Click the arrow at the top left to leave the settings. Head to Facturation Factures (Invoicing › Invoices), then « Nouvelle facture » (New invoice).

Choosing or creating a client

If the client doesn't exist yet, create them: business or private individual.

For a business, enter the SIREN number (French company number): the name, address, postcode and town fill in automatically.

The e-mail address never fills in by itself. Remember to enter it: it's what lets you send the invoice straight from Tiime.

Giving the invoice a heading (not a number)

Put something meaningful: « Loyer mars 2026 » (March 2026 rent), « Chantier Dupont » (Dupont site), « Honoraires dossier #123 » (Fees, file #123)… it's up to you.

Don't write an invoice number yourself. Tiime takes care of it automatically on creation — so the legally required sequence is respected.

Adding the service lines

Choose the type (sales invoice or deposit invoice), the issue date and the payment date.

For the lines themselves, click the arrow:

Standard service line — this pulls in what you created in step 02 (the €800 rent, for instance). The VAT rate can still be changed on the spot.

Free-text line — perfect for adding « charges incluses » (service charges included), a period covered, or any detail.

Sending the invoice (or saving it as a draft)

Three options at the end:

Save as a draft — handy for preparing invoices in advance and sending them at the end of the month.

Download as a PDF — to send it yourself some other way.

Send by e-mail — Tiime opens a window with your e-mail template, which you can edit, and you can attach other documents if you need to.

How the payment is matched automatically

When your client pays the invoice, the payment shows up in your bank account (connected in step 01). Tiime matches the two automatically: the invoice moves to « Payée » (Paid) and the corresponding bank transaction is linked to it.

What that means in practice — paid invoices no longer appear in your chase list. No more risk of chasing a client who has already paid.

Going further — chasing, duplicating, recurring invoices

Clicking an existing invoice opens up several actions:

Send a chaser — for a client who is late paying.

Duplicate — create a new invoice from an existing one.

Raise a credit note — in full or in part.

Set up a recurrence — for invoices that come round every month / quarter / year. They arrive as drafts: all that's left is to confirm and send.

Quotes work exactly the same way

The Devis (Quotes) tab works just like invoices: create, send, track. And from an accepted quote you can generate the invoice in one click.

On the client records side (the Base de données clients — client database — menu), you can keep an eye on late payers, archive dormant clients and change contact details at any time.
