Get to grips with MEG Premium.
MEG (Mon Expert en Gestion) brings your purchases, your sales and your cash position together on a fully web-based platform. Here's what you need to get going.
MEG Premium is your management tool: your sales, your purchases and your cash position in one place, shared live with Extencia. This guide helps you set it up and build the right habits.
Five steps, in the order that makes sense
The e-invoicing mandate
The first thing to do — and the one that most often holds things up.
Your setup
Sorted once, they apply to all your documents.
Your sales
Quotes, invoices, credit notes, recurrences: the heart of your business.
Your purchases & expense claims
Send us your supplier invoices with no paper involved.
Your cash position
Connect your bank for real-time tracking.
The reform requires you to go through a Plateforme Agréée (approved e-invoicing platform) to receive your invoices. Extencia offers to take care of it for you — all you have to do is accept and then sign a mandate from within MEG. Until that mandate is signed, the process stays on hold.
Signing the mandate step by step — Extencia video
Accepting & signing your mandate
Spot the banner
When you log in, a banner appears at the top of your dashboard: « Facilitez votre passage à la facture électronique » (Make your move to e-invoicing easier). Click Accepter (Accept), to the right of the banner.
Check your details
The « Mandat facture électronique » (E-invoicing mandate) window opens. Your details are already filled in: registered name, SIREN, the director's first name and surname, address. Check them and complete anything missing.
Read the mandate in full
Expand « Détail du mandat » (Mandate details) to read the text: it is a mandate appointing a Plateforme Agréée, governed by the French amending finance act for 2022. It authorises Extencia to act on your behalf, and can be revoked.
Sign and send
Click « Signer et envoyer » (Sign and send) at the bottom of the window. This is an electronic signature: nothing to print, nothing to post. You'll then get a copy of the mandate by e-mail.
Step 01 · 3 points to check
A few settings sorted just once will follow you onto every document: your lists (titles, units, VAT, payment methods), your document templates in your own colours, and your contacts. This is what changes day-to-day use the most.
The settings that matter
Your default lists
In Paramètres › Listes par défaut (Settings › Default lists), fill in the Civilité (Title), Unité (your units of measure), Mode de règlement (Payment method — card, transfer…) and TVA (VAT — output and input rates) tabs. You'll then find them in every quote and invoice.

Your document templates
To put your quotes and invoices in your company's colours: open the document templates, then create your own. You can choose a page background (or add your own), show your logo, and through the Avancé (Advanced) tab decide what appears in the header, the body and the footer.
The Tableau (Table — colours, which columns show) and Pied (Footer) sub-tabs fine-tune the result. You can also tailor the legally required wording per document type, and the covering text for the e-mails you send.

Your contacts
Enter your clients (and suppliers) in the Contacts section: contact details, billing address, usual payment method. A well-filled contact means a quote or an invoice created in seconds — and chasers that go to the right address.
Before you invoice
- Your VAT rates match what you actually do
- Your logo and your contact details appear on the template
- The legally required wording is on your invoices
- Your usual payment methods are on the list
Not sure about a VAT rate or a piece of required wording ? Ask your Extencia contact before your first invoices go out — and tell them about anything that looks wrong.
Step 02 · 4 points to check
This is the heart of MEG. Above all, remember the logic of the statuses: a document in Brouillon (Draft) can still be changed, once Validé (Confirmed) it is final (and creates a payment due), then you move it to Réglé (Paid) when your client pays you.
From quote to payment
Build your item catalogue
An item is a line you invoice: a service, a product, a package. In Sales › Items, create them one by one, or import your list in one go if you have many.
Each record carries a name, a unique code, a price excl. VAT, a VAT rate and a unit — the price including VAT is worked out for you. If you regularly sell bundles, a composite item groups several existing items into a single line. And a VAT rate change can be applied to several items at once, without going through them one by one.
Create a quote, then turn it into an invoice
In Ventes (Sales), click Ajouter un devis (Add a quote), pick the client from your contacts and choose your items from the catalogue. You can view the quote as a PDF straight from the list.
When your client accepts it, move the quote to Accepté (Accepted): you can then invoice it in one click. It becomes a draft invoice in your invoice list.

Create an invoice directly
In Ventes › Factures (Sales › Invoices), click Ajouter une facture (Add an invoice). Adjust the date and the due date if you need to, enter the client, then add your items. You can apply an overall discount, per-item discounts or delivery charges.

MEG publisher video · 1 min 32
Understanding the three statuses
Brouillon (Draft) — saved but still editable, as many times as you need.
Validé (Confirmed) — the invoice becomes final and a payment due is created automatically.
Réglé (Paid) — you move the invoice to this state once your client has paid, from the list of payments due.
Raise a credit note
A credit note is only possible on an invoice that is already Validé (Confirmed) or Réglé (Paid). Select the invoice concerned: MEG offers a full credit note by default. For a partial one, adjust the quantity, unit price, discount or gross amount item by item.
Save: the credit note appears as a Brouillon (Draft). Check it, then confirm it and send it to your client.

Automate your recurring invoices
If you invoice the same things at regular intervals (a subscription, maintenance, rent…), switch on the Gestion des contrats (Contract management) option in the invoicing settings. A new button appears in your invoice list.
Create a contract, set the frequency, the start and end dates, then the items concerned. You choose whether invoices are generated automatically on each date, or by hand (the Générer les factures — Generate invoices — button).

Import sales invoices you've already issued
Invoiced outside MEG ? In Ventes › Factures importées (Sales › Imported invoices), upload the PDF: MEG reads it and pulls out the details. An À traiter (To action) status flags an amount that needs correcting — editable from the menu at the end of the row. You can also split a PDF containing several invoices.
On your first invoices
- The numbering runs continuously, with no gaps
- The VAT rate applied is the right one
- The client's details are correct
- The due date matches your payment terms
Confirmed an invoice by mistake, numbering that skips, a doubt about VAT ? Tell your Extencia contact: far better to flag it straight away than to find it at the year end.
Step 03 · 6 points to tick off
Send us your supplier invoices as you go — by upload, through a dedicated e-mail address, or by photo from your phone. MEG reads each document automatically and fills in the details: all that's left for you is to check.
Your purchases, paper-free
Three ways to send an invoice
By upload — in Achats (Purchases), the Importer (Upload) button, then choose your files.
By e-mail — switch on the dedicated address in Paramètres › Documents (Settings › Documents), then simply forward your invoices as attachments to that address.
By photo — through the MEG SCAN mobile app (see below).

MEG reads the invoice for you
As soon as it's uploaded, MEG automatically recognises the supplier, the amounts and the VAT, and carries them over into the record — with no typing on your part. Open the invoice to find that data in the Contenu de la facture (Invoice contents) tab, and complete it if you need to.
Your purchase list clearly shows what's still outstanding: you can filter unpaid invoices and sort them by amount, for instance.

What's yours to do… and what Extencia does
There is no accounting allocation for you to do: that's your Extencia contact's job.
That said, if a supplier hasn't been recognised, you're free to fill it in yourself — or to leave it to your Extencia contact. What matters is to agree between you who does what from the outset, so nothing gets duplicated or forgotten.
Keeping track of payments
An invoice's Règlement (Payment) tab shows the due dates. If the payment hasn't been made yet, you can enter it by hand or pay online. If it has already gone through the bank, the matching bank line shows up directly.
Your expense claims
From the Notes de frais (Expense claims) area, select the employee concerned and enter the details: type in the gross amount and the VAT is worked out automatically. Click Valider (Confirm) to finish (depending on your profile: confirm, send for approval, or decline).
You then confirm the payment from the list, and you can always edit or delete a claim through the menu at the end of the row.

MEG SCAN, the mobile app
Install MEG SCAN on your phone to photograph your invoices and receipts wherever you are. The app also handles your expense claims and your mileage claims, with a history of what you've sent, notifications and built-in help.

A special case: several invoices, one payment
One transfer paying two invoices ? From the bank statement in your cash section, open the transaction concerned, add a detail line per invoice with its amount (the VAT works itself out), then link each invoice using the paperclip icon. Your invoices then move from due to paid.

MEG publisher video · 1 min 12
On your purchases
- The amounts read automatically do match the invoice
- The supplier is recognised (or filled in, as agreed between you)
- Your paper invoices get photographed rather than left in a pile
An amount misread, a duplicate invoice, an unreadable document ? Tell your Extencia contact — they'll put it right before it reaches your accounts.
Step 04 · 4 points to check
Connect your bank accounts and your transactions come through to MEG automatically. Your invoices then match themselves to the corresponding bank lines — and your cash tracking becomes reliable in real time.
Connecting your bank
Add a bank account
In the bank settings, open Gestion des comptes bancaires (Bank account management). For a standard connection, click Ajouter une connexion bancaire (Add a bank connection), choose your bank, enter your credentials then pick the account or accounts to sync.

MEG publisher video · 1 min 43
Points to go through with Extencia
Some settings are accounting matters: which nominal account and bank journal to attach, or whether to use an EBICS connection (a dedicated banking protocol, available with some banks).
Understanding the two dates
The retrieval date is how far back your bank is willing to provide transaction history. The processing date is the point from which MEG actually uses the entries — it cannot be earlier than the retrieval date.
If you add an account part way through the financial year and some history is missing, you can import a CSV file to fill the gap.
Matching, day to day
In Trésorerie › Relevé bancaire (Cash › Bank statement), invoices whose amount and due date match a bank line are linked automatically. Otherwise, you make the link by hand from that same page.
On your cash position
- Your recent transactions do appear on the statement
- The bank connection is live (no error message)
- The balance shown matches the one at your bank
A connection dropped, a balance that doesn't add up, transactions missing ? Tell your Extencia contact.
