Welcome to i-Suite Expert.

Key points

i-Suite Expert is your online space with Extencia. It does two things: it lets you upload your documents (i-Dépôt · Extencia Connect) and track your purchase invoices as part of e-invoicing (i-Facture).

Logging in to i-Suite Expert.

Key points

Your space is available from a web browser on a computer, and from the iSuite Mobile app on a smartphone or tablet. Either way, you'll find the same tiles, depending on the services you subscribe to.

Logging in from a browser

Go to the Extencia website

Go to www.extencia.fr, click the Accès Client (Client access) tab, then choose ISuiteExpert from the drop-down menu.

Is your file handled by our Lyon office? Then choose ISuiteExpert Lyon (not ISuiteExpert). If you're not sure, just ask your Extencia contact.

Sign in

You'll be taken to the i-Suite Expert sign-in page. Enter the login details Extencia sent you — usually your e-mail address — then your password. If you've forgotten it, use the « Mot de passe oublié » (Forgotten password) link.

Get to know your home page

This is where you'll find your tiles, depending on the services enabled on your file: Dépôt - Extencia Connect (Upload — to send us your documents) and i-Facture (to track your purchase invoices), along with a summary of your file and your users.

Setting up the mobile app.

Key points

The iSuite Mobile app lets you upload and scan your documents straight from your phone. You only need to set it up once, when you install it.

Installing & setting up iSuite Mobile

Download the app

On the Google Play, App Store or Windows Store, search for iSuite Mobile and install it.

Enter the server address

The first time you open it, you'll see the Configuration screen: enter the server address, tick Mode HTTPS (HTTPS mode), then validate the server.

Validate, then save

Click Valider le serveur (Validate server), then Enregistrer la configuration (Save configuration). That takes you straight to the sign-in page — all that's left is to enter your login details.

Uploading your documents (i-Dépôt).

Key points

You upload your documents from the « Dépôt - Extencia Connect » tile, sorted by category. They land in Extencia's inbox, and we're notified automatically — nothing left to print or post.

From the browser

Upload & send in bulk

Open the upload tile & choose the category

Click the Dépôt - Extencia Connect tile. Choose the matching category: Fact. Achat (purchase invoices), Fact. Vente (sales invoices), Relevés Bancaires (bank statements), Autres Docs Comptables (other accounting documents), Docs Serv. Juridique / Social (legal / payroll documents) or IRPP (personal income tax).

Upload your files

Use Nouveau document (New document) for a single file, or Envoi Multiple (Bulk upload) to send several at once: choose the category, click « Sélectionnez des fichiers » (Select files), then pick your documents (up to 100 items at a time, all file types accepted).

Tip. Hold Ctrl or Shift to select several files at once. Any comment you add applies to all the documents in that upload.

Upload or photograph

In iSuite Mobile, open Dépôt - Extencia Connect, then tap + to add an item — either from your files or by taking a photo of it. Ideal for paper receipts and invoices.

Keeping track of your uploads

Each category shows the number of documents uploaded. Once your Extencia contact has collected and processed them, they disappear from the inbox (they're archived on the Extencia side): that's normal, nothing is lost.

Getting to know i-Facture.

Key points

i-Facture is the tool you use to view and track your purchase invoices (and your sales invoices) as part of e-invoicing: your invoices arrive there through the Plateforme Agréée (approved e-invoicing platform, LVC) and through your own uploads.

Getting there

From i-Suite Expert, click the i-Facture tile. You'll see the status of every invoice on your file.

Understanding the 3 statuses

À intégrer (To be posted) — invoices not yet in the accounts. À traiter (To action) — something is expected from you. Traitées (Processed) — the invoice history for the financial year.

Filtering & searching

Filter by due date, document type, payment status, supplier or payment method. The search finds an invoice by its date, supplier, number or amount.

Viewing, commenting, paying

Open an invoice to view it. You can add a comment (which reaches Extencia) and, depending on your services, go through to paying your supplier invoices.

Who to contact, depending on what you need ?
  • A question about your file or about the software — your Extencia contact: that's the right reflex in the vast majority of cases.
  • A technical problem (can't log in, an error message) — write to sos@extencia.fr.
  • The Assistance Extencia tile — it downloads the remote-support tool. Use it only when your Extencia contact asks you to, during a conversation : it does not send out a call for help.
Security. During a remote-support session, always check who you are dealing with and never share confidential details (bank details, card number, password). Extencia will never ask you for them.
